An AI receptionist for a Nookal clinic is software that answers patient calls or messages, reads live availability from Nookal, and books, reschedules or cancels appointments in the Nookal diary itself, so the practice-management system stays the only record. Nookal does not ship one: its built-in AI is for clinical notes, and AI reception comes from integration partners that connect through the Nookal API. No. Nookal's Clinical AI and treatment notes feature provides "AI powered tools for accurate and compliant patient record-keeping", including voice recognition and templates. It is a documentation tool for the practitioner after the patient is in the room. Nookal's automations page lists reminders, recalls, waitlists, intake and AI notes, and none of them answers an inbound enquiry.
For the front desk, Nookal points outward. Its integrations page includes an "A.I. and Clinical Scribes" category and lists AI reception partners such as Lyngo AI, described there as an "AI receptionist to automate your clinic's phone answering", and BookedSolid, described as able to "automate and answer every patient call, text, and message with AI".
What Does Nookal Already Automate?
Before adding anything, it is worth knowing how much of the patient contact Nookal already handles. From Nookal's appointment scheduling features:
- Reminders. "Customisable automated SMS and Email Reminders and confirmations."
- Two-way SMS. Patients can reply to "confirmations about their upcoming bookings, reminders, preferences and more."
- Recalls. Sent "automatically based on previous bookings", which is one area where Nookal goes further than Cliniko (we compared the two in our physio reminders and intake guide).
- Online bookings. Appointment and group bookings "with optional payment via your website, Facebook, email and more", and the automations page says patients can "self-book 24/7 matching your real availability".
- Intake and consent forms. Sent "prior to attending their bookings or in your waiting room."
- Waitlists. Priority patients tracked and slotted into the next suitable time; the automations page describes waitlists that "auto-fill cancellations".
- Multiple locations. Switch between "multiple business locations, sites, staff and practitioners with the click of a button."
That is a strong base for the patient who already knows they want to book. It stops at the patient with a question first ("Do you treat jaw pain?", "Does my health fund cover this?"), at replies that are not a confirmation ("can I move to Thursday after work?"), at channels beyond SMS and email, and at languages other than the one the templates were written in. That is the gap an AI receptionist fills, ideally without creating a second system.
How Do Third-Party Tools Connect to Nookal?
Through the Nookal API. Nookal's integrations page describes an API that lets you "securely connect to your account and retrieve your data for custom synchronisation, reporting, analysis, and more." The developer documentation is public and sets out the flow: create an API key in your Nookal account, specify the level of access for that key, then build against the reference, which covers locations, practitioners, services, patients, appointments, availability and booking.
Two practical consequences for a clinic owner:
- You issue the key. A vendor should be able to tell you exactly what access level they need and why, and you should ask whether the API key can be limited to the locations the tool needs.
- You can revoke it. If the trial ends, deleting the key ends the vendor's access to the diary and patient records.
What Should "Two-Way Sync" Actually Mean?
Almost every vendor says "two-way sync". Ask for a demonstration of these five behaviours on a test location before you sign:

The principle behind all five: the tool may keep a conversation history, but it should not keep a parallel patient list or a parallel diary. Nookal stays the record.
Phone, Web Chat or WhatsApp: Which Channel Should Answer?
Each channel changes what the receptionist can reliably do.
Phone. The default for older patients and urgent callers. Voice AI can book, but it captures names and dates of birth by ear, so ask how it confirms spelling before creating a record.
Web chat. Reaches only website visitors, and ends when the tab closes. A supplement, not the main after-hours channel.
WhatsApp. Asynchronous, so a patient can ask at 11 pm and read the answer at breakfast, and photos of referrals or health fund cards arrive in the same thread. It has rules: Meta's pricing documentation states that "template messages are the only message type that can be sent outside of a customer service window", that a patient's message "opens a 24 hour customer service window", and that "all non-template messages are free within an open customer service window". A reminder therefore needs an approved template; answering a patient's question does not.
If Nookal's SMS reminders are already switched on, decide which system owns reminders before going live. Two systems reminding the same patient is the fastest way to generate complaints.
Do Practitioner and Location Rules Carry Over?
The diary is only half the rulebook. A receptionist also knows that initial consultations are 45 minutes, that one physio does not see vestibular patients, that Tuesday mornings are held for post-surgical reviews, and which location has the hydrotherapy pool. Ask each vendor two questions: which of these rules are read from Nookal (practitioners, locations, services and appointment types all exist in the API), and which must be written into the tool separately. Anything written separately needs an owner, because it will drift the first time a practitioner changes their hours.

An 8-Point Checklist Before You Connect Anything to Nookal
- Scoped access. The vendor names the API access level and locations it needs, and you generate and hold the key.
- Nookal stays the record. All five sync tests above pass on a test location.
- No duplicate patients. Ask how matching works when a patient gives a nickname or a new mobile number.
- Your rules, in one place. Appointment types, new-patient slots and practitioner exclusions are read from Nookal or documented in a single page the vendor configures.
- A clinical boundary and a handoff. The receptionist triages and books; it never gives treatment advice, and staff can take over any conversation. Ask to see the refusal behaviour, not the demo script.
- Channel rules respected. Approved templates for outbound WhatsApp reminders, no marketing dressed as a reminder, and one system owning reminders.
- Privacy Act obligations. The OAIC is explicit that "regardless of turnover, the Privacy Act covers any business that is a health service provider" (OAIC small business guidance), and it names physiotherapy and podiatry among allied health services. Under the Australian Privacy Principles, APP 8 covers disclosure overseas and APP 11 requires reasonable steps to protect personal information. - Numbers you can check. After-hours enquiries answered, enquiry-to-booking conversion, median time to first reply, and bookings later edited by staff (the honest measure of sync quality). Run it on one location for a month before rolling out.
